1. Basic Idea

Hiroshima University Center for Collaborative Sciences (hereinafter referred to as “the Center”) collects information on the uses of the official website (meaning the website consisting of pages whose URLs start with https://huccs.hiroshima-u.ac.jp/; hereinafter referred to as “the Site”) to the extent necessary for the smooth provision of services via the Site. Personal information collected shall be handled properly within the scope of the purposes of utilization set forth in the Privacy Policy (hereinafter referred to as “this Policy”).

2. Scope of Information to be Collected

(1) When you make inquiries, respond to questionnaires, or apply for various events, we may collect information such as your name, affiliation, address, telephone number, and e-mail address. When you contact us by e-mail, your e-mail address is displayed on our computer.

(2) The Site automatically collects information on access to the Site, such as Internet domain names and IP addresses, in the form of an access log.

3. Purposes of Utilization

(1) We use the information collected as mentioned in 2. (1) and (2) above as a reference for the purpose of smoothly providing services via the Site.

(2) The information collected as mentioned in 2. (1) above may be transferred to another department in charge depending on the content of the inquiry. In addition, we may use your name, address, telephone number, or e-mail address for the purpose of responding to your inquiries or contacting you to confirm the content.

(3) We may use the information collected as mentioned in 2. (2) above to manage the Site or analyze access to the Site. We may outsource the analysis of the access to the Site to a third party with whom we have concluded a non-disclosure agreement.

4. Use of Google Analytics

The Site uses Google Analytics to conduct access analysis in order to understand the Site usage statistics and to improve the content. The data is aggregated anonymously, and we do not collect any personally identifiable information. The aggregated information will be used only for the above purposes.

In addition, the data collected through Google Analytics from the Site is managed based on Google’s privacy policy, and the Center shall not be liable for any damages caused by the use of the Google Analytics services.

5. Restriction on Utilization and Provision of Information

(1) The Center will not utilize the collected information for any purpose other than those mentioned in 3. above nor will it provide any piece of such information to a third party except where: a data request is based on a law or regulation; any illegal act, such as illegal access or intimidation, has occurred; any other special grounds exist; or we have obtained consent from the relevant person in advance. However, statistical information that does not identify individuals (information on access to the Site and attributes of users) may be disclosed.

6. Measures to Ensure Safety

(1) The Center will take measures necessary to prevent leak or loss of or damage to collected information and shall otherwise manage such information properly.

(2) When we outsource the handling of collected information to a third party, we will conclude a non-disclosure agreement with said third party or the party to which we provide information or take other measures necessary for the proper management of the information.

7. Scope of Application

This Policy shall apply only to the Site. For information on the handling of information on other sites, please submit inquiries to the administrators of the relevant sites.

8. Other

This Policy may be revised as necessary.
